Job Description

We are seeking a dynamic and results-driven Inside Custom Sales Coordinator to join our team. In this role, you will serve as the primary point of contact for large, irregular, and national accounts, overseeing custom orders from initiation to delivery. Responsibilities include preparing quotes, managing documentation, coordinating with internal teams and suppliers, and producing reports to ensure client needs are met with precision and efficiency.
The Inside Custom Sales Coordinator plays a pivotal role in fostering strong client relationships, managing complex custom projects, and providing vital support to the broader sales team, contributing to the organization’s overall success.

Key Responsibilities

Customer Management & Sales
• Primary Contact: Act as the first point of contact for all national, irregular, and large order customers.
• Quote Management: Qualify and prepare quotes for custom products, evaluating and rating them on a probability scale.
• Timely Follow-Up: Follow up on quotes within 72 hours, ensuring prompt and effective client communication.
• Relationship Building: Proactively build and maintain strong, lasting relationships with clients to support ongoing sales and customer satisfaction.
Order Coordination
• Order & Sample Management: Manage and process all custom product samples and client requests for new product ideas.
• Coordination: Collaborate with suppliers, internal teams, and logistics to ensure timely and accurate product delivery.
• Compliance: Ensure adherence to established quoting procedures and organizational standards to maintain consistency and quality.
Data Management & Reporting
• Record Accuracy: Maintain accurate electronic records for all quotes, reports, and forms.
• Data Analysis: Analyze customer purchasing trends to support forecasting and strategic planning.
• Progress Reporting: Generate regular progress reports on quotes and orders for senior management to ensure visibility and informed decision-making.
Strategic Contribution
• Pricing & Strategy: Collaborate with the Sales Manager to develop pricing strategies and ensure market competitiveness.
• Key Relationships: Strengthen and maximize relationships with key national and wholesale customers to drive growth.
• Sales Forecasting: Conduct sales forecasts and actively contribute to sales planning processes to support strategic goals.
Team Collaboration & Support
• Mentorship & Support: Provide guidance and support to the sales team as needed to foster growth and success.
• Process Improvement: Actively participate in process improvement initiatives to enhance customer experience and operational efficiency.
General Duties
• Organizational Representation: Promote the mission, vision, and values of the organization both internally and externally.
• Additional Responsibilities: Perform other duties as assigned by management to support team and organizational goals.

Education

Post Secondary Education

Experience Required

Experience:
• 4 + years in a similar role
• Proven experience as an Inside Sales Coordinator or in a comparable position, demonstrating the ability to support sales processes effectively.
Technical Skills:
• Software Proficiency: Advanced skills in MS Word, Excel (Level 3 or higher preferred), Outlook, and Adobe Acrobat.
• ERP & Platforms: Familiarity with systems such as Spire, Business Vision, Business Essentials, and e-commerce platforms.
• Data Management: Proven experience in preparing quotes, generating reports, and tracking project progress and performance.
